1:00-2:00
Discussion of goals for Hardware Review 1
  • As per the requirements for the first hardware review, teams must be halfway to completion for their initial project construction
    • Since this team working on the Sumo Bot project will be creating several different robots, the construction plan for our first hardware review can be slightly more flexible
    • The team was given the option to complete half of each design (the sumo & bartending robots) or fully complete one and leave the other mostly unfinished as the goal for Hardware Review 2
  • Team’s decision for HR 1 is to create the basic frames for both robots as well as start on the valve system for the bartending, but leave most sumo components as well as more minor components for bartending to be completed for Hardware Review 2, along with assembly of systems
  • Began planning report for HR 1
    • Report will likely include details of progress so far (as of 2/17) as well as plans for HR2 and early planned testing procedures

Attendees: Zheng Liu, Gunnar Molony, Christian Dooley, Andrew Farnam

Table 1.  Record of meeting.

9:00 am -10:30 am
Preparation and Cutting for inside frame
  • Began working with wood materials for the construction of inner bartending frame. Frame will be made out of wood, and later overlaid with sheet metal to give overall shape
  • Today, team started with measuring out post lengths for sides, front, and back wooden frame components
  • Once satisfied with measurements and markings on available material, began cutting wooden posts to desired shapes and lengths. Posts will later be joined to each other with a combination of nails and wood glue, once all pieces are prepared
    • Available material did not completely fulfill desired frame component requirements, so the small remainder of the frame will be measured and cut at following team construction meeting
    • Remaining posts to be cut include two vertical supports – horizontal and vertical supports may be added after frame pieces are combined if stability is not to team satisfaction
10:30 am – 12:00 pm
Preparation and Cutting for outside frame
  • With the majority of the wooden frame complete, team began measuring out panel areas to be cut for bartending surface areas
  • Available sheet metal material allowed for cutting of one back, side, and front panel out of the needed two for each
    • Similarly with the wooden portion of the frame, initial material estimations fell short of what was actually required, so additional materials will be need to be purchased
    • Remaining panels to be cut include one side and front, as well as two large equal sized panels for the top and bottom

10:00 am -11:30 am
Progress on Bartending Robot Construction
  • Spent the majority of the meeting continuing with the construction of the bartending robot frame. At this point the inner wooden frame of the robot has been mostly completed and the team is working on cutting the outer sheet metal panels and fixing them to the inner frame
    • Wooden frame includes a cubical structure with a triangular section on one side, intended to be the front of the robot
    • Metal panels currently cut include panels for the two sides and back of the frame – the back edge is already partially attached with the side and back panels connecting on top of one another
    • The front section of the robot is still somewhat a work in progress, as the team works out the exact desired layout of the drink delivery area. The other panels still to be cut and affixed include the bottom, which will be a straightforward panel cut to match and slightly overhang the edges of the frame, and top panel which will be identical to the bottom but with areas cut out to hold the ingredient containers

11:30 am – 12:00 pm
Preparation for HR1 Staff Meeting with Dr. Oman
  • The remainder of the meeting was spent organizing all completed work for presentation at the first project hardware review, at 1pm after this meeting
    • Currently completed work includes the progress of the bartending robot as detailed in the previous section, as well as progress in the sumo bot frame and electronic components for both robots
    • The progress for the sumo robot includes near completion of the sumo bot metal frame. The sides, front, and back of the frame have been cut and fixed together, with a slot in the top section designed to hold a removable top panel to ease with team access. At this point, the plan is to leave the bottom of the robot open and affix components to an inner shelf as well as the sides of the frame.

Minutes recorded by Andrew Farnam
Meeting called by Gunnar Molony
Attendees: Zheng Liu, Gunnar Molony, Christian Dooley, Andrew Farnam

Table 1.  Record of meeting.

5:30 pm – 7:30 pm
Midpoint Report – New Sections
  • The majority of the meeting was spent working on the Midpoint report due Friday. The team transferred over work from previous semester Final Report and began work on new sections needed for spring semester Midpoint report. New sections mainly focus on the design implementation stage of the project, specifically the manufacturing steps and major changes from planned designs as well as the team’s initial Design of Experiments and results.
    • The manufacturing and design changes section provides a detailed look at the steps taken so far by the team in actually fabricating the planned designs created through the fall semester. For our team, that progress is mainly in the construction of both robots’ frames and the early electrical and programming components for the bartending robot. This information was then detailed in the first portion of section 7 of the report
    • The design of experiments section provides a detailed look at the experiments developed and conducted by the team to test various aspects of the robots, as well as the results of those tests. Tests done so far mainly concern the electrical components of the bartending robot, the results of which were detailed in the second part of section 7 of the report
  • The entirety of the report also had to be updated wherever necessary to reflect the current timeframe of the project, with all references to future plans or goals updated to present or past tense as applicable

7:30 pm – 8:00 pm
UGRADS Project Abstract
  • The remainder of the meeting was spent discussing and completing the project abstract draft due Friday, for UGRADS registration next week. Though a shorter task than updating and adding to the Midpoint report, this was an important discussion for the team as a whole. Eventually, the team was able to come up with a satisfactory abstract which we felt gave a quick and easily understandable overview of the project.

Manufacturing Progress for Sumo Robot
  • The team continued working on the Sumo robot, which at this point is believed to be near completion. Remaining items that still need work include the permanent attachment of the wheels and the setting of the interior shelf, which will hold the battery and circuitry components. Electrical components and programming are mostly complete at this point, with any small bugs that come up assumed to be navigable by the team.
  • The wheels are fairly straightforward to attach permanently through gluing, though the team is leaving that as a last resort and is still attempting to find a better solution that will allow the components to be removed and worked on as needed
  • The interior shelf has pilot holes drilled now for the screws to be attached through the sides of the frame, though care has to be taken so that the screws don’t interfere with the wheel movement. The layout of the electrical and circuitry components on top of the shelf has already been planned out to find a manner to fit everything as needed

2:30 pm – 3:30 pm
First Draft of UGRADS Poster
  • Began putting together outline for UGRADS walkthrough poster summarizing project, the first draft of which is to be presented during the staff meeting held with Dr. Oman next week. The final draft of the poster is due another week later, on the 14th of April
  • Main points on the poster, as of the initial draft by the team, are the project abstract, background, final CAD and physical designs for both the Sumo and Bartending, a summary of the project manufacturing steps for both designs, a summary table of tests done and the associated criteria tests, as well as a summary of the results of said tests
  • The abstract and background are more or less complete. The team aims to have the project goals section complete, and the project manufacturing process and testing outline at least partly complete before presenting the first draft. The final product and final CAD images will have to wait for the second draft, due in approximately two weeks, as the team is still completing the final steps for the Sumo and still has a moderate amount of work to complete for the Bartending.

12:00 pm – 5:00 pm
Manufacturing Progress for Sumo and Bartending Robots
  • Team continued work on both robots, adding the final components for the sumo robot and continuing progress on the valves, tubing, and ingredient containers for the bartending. Note that all four members were not present for the entirety of the duration of the meeting, but left and returned as needed and worked in subgroups as available throughout the day
  • At this point, the sumo robot is more or less complete – frame, motors, wheels, and circuitry have all been completed. The remaining pieces to be fixed into place are the battery and the treads. The battery is still left out at this point until the remote control and programming for autonomous control are finalized, so that it can be manipulated manually as needed to perform physical testing. The treads are left off currently as the previously desired tank-treads setup caused too much resistance on the wheels, making it difficult for the motors to run.
    • However, the motors were able to turn the wheels individually, so the current plan is to either cut and affix a rubber covering for each individual wheel instead of a paired setup, or to buy more powerful motors to switch out with the previous versions. The team is waiting to discuss this at the staff meeting later today before making their final decision
  • For the bartending robot, the frame is near complete, with only the top and one side panel left off for each of access for the team as the more delicate components are placed in the interior of the design.
    • Interior components remaining for the bartending mainly consist of the tubing, valves, and circuitry, as well as the creation and placement of a plastic covering to rest on top of the interior shelf, to hold ice as well as protect the circuitry at the bottom of the robot from any liquids
  • The team also did some work completing the first draft of the project poster for UGRADS, to be presented the staff meeting later in the day. The first draft of the poster includes a preliminary summary of all required information, with the exception of a small portion of the testing information and figures of the final products and associated final CAD figures. Since the final draft of the poster including that missing information is due Friday of next week, that means that at least the manufacturing must be complete with presentable CAD packages prior to that point

Meeting Minutes Week 12

Topic: Poster Finalization, Manufacturing Progress, Presentation Preparation
Friday, April 14th, 2017
12:30 - 4:00pm
98C Machine Shop

Minutes recorded by Andrew Farnam
Meeting called by Christian Dooley
Attendees: Zheng Liu, Christian Dooley, Andrew Farnam

Table 1.  Record of meeting.

12:30 pm -4:00 pm

The team worked on multiple assignments simultaneously for this meeting – summaries of work done on each are found below.
Manufacturing Progress for Bartending
  • At this point in the project, the sumo robot is functional though still unpainted or decorated. If time permits, the team would like to paint the sumo robot in NAU’s colors as well as add secondary decorative designs to the outer frame, but these are of secondary importance to getting the bartending robot to a functional state
  • The inner and outer frame of the bartending robot is more or less complete at this point, though some small modifications are still planned which may require the remake of a handful of panels or interior shelves. Ingredient containers, tubing, and valves are prepared but as of yet unconnected and untested. The majority of progress in today’s meeting was focused on finalizing the interior shelves and outer frame panels of the bartending, as well as testing configurations of the flow systems to find a functional setup to put into place.

UGRADS Poster Finalization
  • A second major focus of the meeting today was the completion of the near-final draft of the project poster for UGRADS. Although small changes may still be made before actually printing the poster, today is the deadline for submittal to the team’s capstone instructor for final feedback
  • Prior to today, all written sections of the poster were complete, with only the last few manufacturing progress photos and final product photos still missing. Photos of the sumo were taken to be included on the poster at the start of the meeting, while the final photos of the bartending were taken and placed on the poster near the end of the meeting following the day’s manufacturing progress
  • Small changes may still be made in the next week prior to the 21st based on feedback received, but the overall layout and section content of the poster is more or less set at this point pending instructor approval

UGRADS Presentation Draft Preparation
  • The final major focus of the meeting today was to prepare a draft of the team’s final presentation to be given at UGRADS at the end of the month. Though that presentation is still several weeks away, there will be an informal walkthrough of each team’s presentation draft held during next week’s Capstone lecture on Wednesday. An outline of the presentation the team plans to give, based off the UGRADS presentation rubric, was started today and planned to be finished before the walkthrough day.
  • Sections of the presentation include a background of robot sumo and a summary of the project taken on by the team, the specific requirements of each design developed and created throughout the past year, a summary of the design process in the fall semester and final design concepts developed as well as deviations made from the initially planned design and reasons for doing so, the overall successes and challenges faced in process of actually manufacturing each design, and a conclusive summary of the project completed by the team

Manufacturing Progress, Testing Proof and UGRADS Presentation Preparation
Work done both at today’s meeting and throughout the week focused primarily on readying both the sumo and bartending designs’ manufacturing progress in preparation for the final testing proof meeting with Dr. Oman on Friday
  • The proof of testing for both robots was obtained throughout this week. At today’s meeting, the remainder of the tests for the sumo including turning speed, latency, and weight specifications were performed and proof recorded. The final test to be done later this week before Friday’s meeting is the test of the refill time for the bartending robot. In total, the following ERs have been tested at this point, or in lieu of testing some other form of proof of meeting the requirement has been obtained
    • Sumo
      • Cost
      • Mass
      • Endurance
      • Dimension
      • Turning Speed
      • Repair Time
      • Signal Latency
    • Bartending
      • Cost
      • Number of Allowable Liquid Types
      • Mass
      • Width
      • Length
      • Refill Time
      • Dispense Time
  • Besides obtaining proof of meeting or working towards meeting these requirements, the team also worked towards finalizing the manufacturing steps of both robots. At this point, the sumo robot is functional in both RC and autonomous conditions and fulfills all necessary component, dimension, and mass specifications required to participate in the competition at UGRADS. Small modifications may still be made and performance testing held, but the sumo design can be considered complete at this point.
  • The bartending structural composition is also complete at this point. Final components needing integration into the overall design or needing small modifications before functionality include the ingredient container valve connections and the liquid flow process through the internal tubing to the mixing containers. Both of these aspects were the primary focus of the manufacturing efforts of today’s meeting
    • One issue came up in testing when it was found that the carbonated drinks planned to be used in the ingredient containers caused leakage with the valves. Once fixed, juices and other non-carbonated drinks are now the planned usage fluids
  • The final purpose of today’s meeting was to continue progress on the slides for the presentation to be given at UGRADS on Friday of next week. Topics have already been divided up among team members, with each individual covering one to two topics and roughly one fourth of the overall presentation. At the conclusion of today’s meeting, the overall presentation is mostly complete, with only a few missing pictures planned to be taken and added of various design components.

Final Design Modifications
  • The majority of the meeting was spent readying both the sumo and bartending robots for the demo day on Friday, ensuring that both were in a functioning state which the team could present to an audience at the UGRADS luncheon.
  • As the sumo was complete and ready for the competition at this point, the majority of the work was done readying the bartending robot. Although specific components had been tested and shown to work previously, the team was still having issues getting all components to work in cooperation and so readying that was the main goal for today.
  • Due to time constraints and the need to practice the formal presentation for Friday’s UGRADS, this goal was not completely met and Gunnar Molony opted to take the design with him to work on individually over the final two days in order to attempt to get the overall design to a functioning state

2:00 pm to 3:00 pm
Presentation Practice
  • The remainder of the meeting was spent organizing the slides for Friday’s formal presentation, with the team decided who would be presenting each topic.
  • Andrew Farnam – Project Description, Conclusion
  • Gunnar Molony – Engineering Requirements
  • Zheng Liu – Design Solutions
  • Christian Dooley – Manufacturing Process
  • After a few practices, the overall time for the presentation was approximately 17-18 minutes, with some extraneous portions which the team believed could be abbreviated if the moderator for the presentation was strict on the 15 minute time limit
  • Further work for the week includes the operation manual for the project which is also due Friday. At this point the summary of components for both robots is complete, with the assembly and operation steps sections still to be filled out
